Position Overview
We’re looking for a detail-oriented, steady, and service-minded Operations Specialist to help support our sales team, care for our customers, and ensure orders are processed smoothly behind the scenes. You’ll be the person who makes sure nothing falls through the cracks.
Location: Daily, On-site in Dallas (Farmers Branch, near I-35E & I-635)
Schedule: Part-time ~20 hours each week
Compensation: $15 per hour
DUTIES AND RESPONSIBILITIES
Key Responsibilities
This is an operations-focused role supporting customer experience and day-to-day team coordination.
Supporting Customers (15 min – 1 hour)
- Respond to customer inquiries via HelpScout (and occasionally phone) in a timely, professional, and friendly manner
- Resolve customer issues including refunds, disputes, failed payments, and product access
- Support existing customers with account updates, subscriptions, and digital content access (PDFs, memberships, etc.)
- Escalate complex or technical issues as needed
- Identify patterns in customer feedback and communicate insights weekly to the Operations team
- Moderate live virtual events, including:
- Weekly membership calls (4 Tuesdays per month): welcoming members, sharing links, basic tech support, and tracking attendance
- Additional live online events throughout the year
- Moderate posts and engagement within the Accountability Community
Fulfilling Orders (30 min – 1 hour)
- Process incoming orders accurately and efficiently
- Create and manage shipping labels
- Ensure orders are fulfilled correctly and on time
- Update our Inventory Management System to ensure accurate reporting
Assisting Operations
- Monitor and report real-time sales activity during weekend conferences and posting updates in team chat at set intervals.
- Organize video materials for our membership program
- Schedule social media content
- Manage and update internal calendars, scheduling conference events, deadlines, travel details to keep all departments aligned.

EXPERIENCE & QUALIFICATIONS
Required qualifications
- Prior experience in an administrative, coordinator, customer service, or support role.
- Strong organizational and time-management skills, with high attention to detail.
- Comfortable moderating comments and typing on video calls (e.g., Zoom, Google Meet).
- Confident using online tools such as shared calendars, cloud storage, team chat, and productivity apps.
- Reliable availability every Tuesday during scheduled membership sessions and team calls
Preferred qualifications
- Experience with membership-based programs, online communities, or virtual events.
- Background in travel coordination, event planning, sales support, or customer service.
- Experience working in a small, fast-moving team environment.
KEY PERFORMANCE INDICATORS
Customer Response Time: Target: Within 24 hours (ideally same-day during business hours)
Order Processing Accuracy: Target: 99%+ accuracy
Task Reliability: Target: 100% completion of assigned recurring tasks (events, reports, monitoring)
